1. Information We Collect
1.1 Information You Provide Directly
Contact Form Inquiries
When you submit an inquiry through our contact form, we collect your name, company name, email address, and the content of your message. We also collect your IP address and an approximate geographic location (city/region) to help us respond appropriately and protect against spam.
Job Applications
When you apply for a position through our careers pages, we collect your name, email address, and a URL link to your resume or portfolio. We do not host resume files directly; applicants provide a link to a file hosted in their own cloud storage.
Client Portal Registration
Client portal accounts are created by our team. When you first access the Portal, you set a password and we record your acceptance of our Terms of Use and Privacy Policy with a timestamp. During your engagement, the Portal stores your email address, name, account activity logs, and project-related information that you or our team uploads or creates within the Portal.
Email and Direct Communications
If you contact us directly by email, we retain those communications and any information you choose to include in them.
1.2 Information Collected Automatically
When you visit our Site, we and our service providers may automatically collect certain technical information, including:
- IP address and approximate geographic location (country, region, city);
- Browser type and version;
- Operating system;
- Pages you visit on our Site and the time spent on each page;
- Referring URL (the page you came from);
- Device type;
- Session identifiers and Firebase authentication tokens (for Portal users).
This information is collected through Firebase Analytics (provided by Google) and is used in aggregate to improve the performance and user experience of our Site.
2. How We Use Your Information
We use the information we collect to:
- Respond to inquiries: To evaluate, qualify, and follow up on business inquiries submitted through our contact form;
- Deliver consulting services: To manage your client engagement, share deliverables and project updates through the Portal, and communicate with you about active projects;
- Recruitment: To review and respond to job applications;
- Send transactional emails: To send you confirmation, welcome, and operational emails related to your inquiry, account, or engagement. All emails are sent from our own domain via our SMTP provider;
- Prevent fraud and spam: To detect and block automated spam submissions to our contact and application forms, including through reCAPTCHA and IP geolocation;
- Improve our website: To analyze aggregate usage patterns and improve the Site's content, performance, and user experience;
- Legal and compliance: To comply with applicable laws, regulations, legal processes, and governmental requests.
We do not use your information for automated decision-making or profiling that produces legal or similarly significant effects without human review.
3. How We Share Your Information
We do not sell, rent, or trade your personal information to third parties. We share your information only in the following limited circumstances:
- Service providers: We share information with third-party vendors who help us operate our Site, Portal, and business (see Section 4 below). These providers process data on our behalf and are contractually required to protect it.
- Business transfers: If RG Enterprise Consulting LLC is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change and any choices you may have.
- Legal requirements: We may disclose your information if required to do so by law, court order, or governmental authority, or if we believe in good faith that such action is necessary to protect our rights, property, or safety or that of others.
4. Third-Party Service Providers
We rely on the following categories of third-party services. Each receives only the data necessary to perform their function.
Firebase / Google LLC
Our Site and Portal are built on Google Firebase, which provides hosting, authentication, cloud database (Firestore), cloud storage, and analytics services. Firebase Analytics collects anonymous usage data. Firebase Auth stores your email address and password hash (never your plaintext password). Data is stored in Google's infrastructure, primarily in the United States. Google's privacy policy applies: policies.google.com/privacy.
Google reCAPTCHA v3
We use Google reCAPTCHA on our contact and application forms to protect against automated bot submissions. reCAPTCHA analyzes user interactions and may collect information about your device and browsing behavior. This service is governed by Google's Terms of Service and Privacy Policy.
Ionos / SMTP Email Provider
We use Ionos as our email delivery provider to send transactional emails (inquiry confirmations, welcome emails, password reset links). Your name and email address are transmitted to Ionos for the purpose of email delivery. Emails are sent from our own domain (rgenterpriseconsulting.com).
ip-api.com
When you submit a contact form inquiry, we look up an approximate geographic location (country, region, city) associated with your IP address using ip-api.com. This is used solely for internal lead context and spam prevention. Your IP address is not stored long-term for this purpose.
Anthropic (AI Processing — Backend Only)
Contact form submissions are processed by our backend, which may use Anthropic's AI API to generate a brief internal summary of your inquiry to help our team prepare for follow-up. This processing occurs entirely on our backend servers and the AI-generated summary is stored only in our internal lead records. The content of your inquiry may be transmitted to Anthropic in anonymized form. We do not use AI to make final decisions about your inquiry.
Calendly (Optional, Post-Submission Only)
After you submit a contact form, you may be shown a link to schedule a discovery call via Calendly. Calendly is an independent service with its own privacy policy. We do not share your form data with Calendly; any information you provide on Calendly is governed by their terms.
5. Cookies and Tracking Technologies
We use cookies and similar technologies to operate our Site and Portal and to collect analytics data. Specifically:
- Authentication cookies: When you log in to the Portal, Firebase sets a session cookie to keep you authenticated. This cookie is strictly necessary for the Portal to function.
- Analytics cookies: Firebase Analytics sets cookies to help us understand how visitors use our Site (page views, session duration, traffic sources). This data is collected in aggregate and does not identify individual users.
- reCAPTCHA cookies: Google reCAPTCHA sets cookies on form pages to assess whether you are a human user.
Most browsers allow you to control cookies through their settings. Disabling cookies may affect the functionality of the Portal (you will be unable to stay logged in).
6. Data Retention
We retain personal information for as long as necessary to fulfill the purposes outlined in this policy and to comply with applicable legal obligations:
- Contact form inquiries: Retained for up to 3 years to support our sales process and business records, unless you request deletion sooner.
- Job applications: Retained for up to 12 months after the position is filled or the application is rejected, to comply with equal opportunity record-keeping practices.
- Client portal accounts and project data: Retained for the duration of your engagement plus a reasonable period thereafter (up to 5 years) for business record-keeping and our professional obligations.
- Analytics data: Governed by Google Firebase's default retention settings (typically 14 months for event data).
You may request deletion of your information at any time (see Section 9 below). We will comply to the extent permitted by law and our legitimate business and legal obligations.
7. Security
We implement reasonable technical and organizational security measures to protect your personal information from unauthorized access, disclosure, alteration, and destruction. These include:
- Encryption of data in transit via TLS/HTTPS;
- Firebase security rules that restrict database access to authenticated and authorized users;
- Password hashing managed by Firebase Authentication (we never store plaintext passwords);
- Access controls limiting Portal data to the relevant client account;
- Secrets (API keys, SMTP credentials) stored in Google Cloud Secret Manager, not in code.
No method of transmission over the internet or electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your information, we cannot guarantee absolute security. Please notify us immediately at Email us if you believe your account has been compromised.
8. Children's Privacy
Our Site and services are intended exclusively for business use by adults aged 18 and over. We do not knowingly collect personal information from anyone under the age of 18. If we learn that we have inadvertently collected information from a minor, we will delete it promptly. If you believe a minor has submitted information to us, please contact us immediately.
9. Your Privacy Rights
Depending on where you are located, you may have rights with respect to your personal information, including:
- Right to access: Request a copy of the personal information we hold about you;
- Right to correction: Request that we correct inaccurate or incomplete information;
- Right to deletion: Request that we delete your personal information, subject to our legal obligations;

10. California Residents — CCPA Rights
If you are a California resident, the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA), provides you with specific rights regarding your personal information.
Categories of Personal Information Collected
In the past 12 months, we have collected the following categories of personal information:
- Identifiers — name, email address, IP address;
- Professional or employment-related information — company name, job title (from contact form);
- Internet and network activity — pages visited, session duration (via Firebase Analytics);
- Geolocation data — approximate city/region level only (from IP address).
Your CCPA Rights
- Right to Know: You may request disclosure of the categories and specific pieces of personal information we have collected about you over the past 12 months, the categories of sources, the business purposes for collection, and the categories of third parties with whom we share it.
- Right to Delete: You may request deletion of your personal information, subject to certain exceptions (e.g., legal obligations, completing a transaction).
- Right to Correct: You may request correction of inaccurate personal information.
- Right to Opt-Out of Sale or Sharing: We do not sell or share your personal information for cross-context behavioral advertising, so this right is not currently applicable.
- Right to Limit Use of Sensitive Personal Information: We do not collect sensitive personal information as defined under CPRA.
- Right to Non-Discrimination: We will not discriminate against you for exercising any of your CCPA rights.

You may also designate an authorized agent to make a request on your behalf. We may require verification of the agent's authorization before processing such a request.
11. International Data Transfers
RG Enterprise Consulting LLC is based in the United States. If you are accessing our Site from outside the United States, please be aware that your information may be transferred to, stored, and processed in the United States and other countries where our service providers operate. Data protection laws in these countries may differ from those in your country of residence.
By submitting information to us, you consent to this transfer, storage, and processing. We take steps to ensure that any transfers comply with applicable data protection laws.
12. Do Not Track
Some browsers include a "Do Not Track" (DNT) feature that signals websites to not track your browsing activity. There is currently no universally accepted standard for how to respond to DNT signals, and our Site does not currently respond to them differently than ordinary traffic. We will update this policy if an industry standard is established that we adopt.
